Job Purpose

The QSHE Coordinator handles all the administrative duties in the QSHE department, reporting to the QSHE Manager. This role encompasses all administrative tasks within the department, ensuring efficient operations. It plays a critical role in maintaining meticulous records and supports QHSE audits by preparing essential documents and coordinating schedules. Ultimately, the QSHE Coordinator contributes significantly to the organization's commitment to safety, quality, and compliance through systematic and accessible information management.

Tasks and Responsibilities

• Review and revise QSHE related documents - encompassing policies, procedures and manuals.

• Maintain precise records of inspections, incidents and compliance documentations.

• Assist in addressing customer inquiries and complaints, promptly conveying pertinent information to the appropriate

staff member.

• Gather data for customer complaints, internal noncompliance and vendor compliance investigations.

• Assist in taking the minutes during the QSHE meeting and bi-weekly NCR, CCR, VCR, and NM meetings.

• Assist in collecting the information for investigations – video, photo, evidence witness, training

records/machine/equipment information – PM/service details.

• Review the reported NM / OFI / Obs in the safety software system and update further information.

• Update the Excel NM / OFI / OBS register and evidence folder.

• Contribute to the identification of root causes and the formulation of preventive measures.

• Regularly update waste disposal statistics, ensuring compliance with waste management protocols, including the

control of egally mandated documentation and the maintenance of active permits.

• Perform trend analysis and reporting under the guidance of the QSHE Manager.

• Assist in maintaining and contributing to the development of QSHE Management system.

• Assist in ISO 9001 and 14001 standard documentation and preparation for external audits.

• Participate in both internal and external audits.

• Collaborate in conducting risk assessments for all business activities.

• Deliver safety induction training to visitors and contractors.

• Assist in monitoring, documenting and reporting on QSHE objectives and Key Performance Indicators (KPIs).

• Contribute to the implementation of continuous improvement initiatives.

• Engage in the creation and testing of emergency response plans.

• Be prepared to respond to QSHE-related emergencies as necessary.

• Monitor and advocate for environmentally responsible practices throughout the organization.

• Track and report on environmental performance metrics.

• Foster a culture of safety within the organization, encouraging employees to report safety concerns and near

misses.

• Assist in the planning and execution of QSHE training sessions for employees.

• Update the training assessment outcome and re-schedule the session where required.

• Take the lead in the absence of QSHE Manager.

• All other duties as directed by QSHE Manager.

Skills and Attributes Required

• Formal/professional qualifications would be preferred but not a pre-requisite of the role .

• Familiarity with Good Manufacturing Practices (GMP) and practical experience with implementing 5S workplace

organization methods would be advantageous.

• Having a formal professional qualification in IOSH would be valuable.
