Job Purpose

The position is responsible for assisting Sales Managers in addressing and coordinating non-strategic customer needs. The role must work closely with the Sales department, and be able to internally track customer needs, such as new samples, documents, certifications or price quotes.

Tasks and Responsibilities

Administer projects:

  • Enter projects into the system as provided by the Sales department.
  • Serve as the first point of contact and ensure projects are entered correctly.
  • Monitor projects to ensure that the established deadlines for shipping to customers are met.
  • Work closely with the laboratory to organize shipments and samples.
  • Physically verify the samples being sent to the client against the packing slip.
  • Enter the packages to be shipped into the courier’s website, print the shipping labels, and proceed with shipping the samples.
  • Check the courier’s website to ensure there are no issues with the shipments.

 

Support Sales Managers:

  • Manage regulatory inquiries from customers, requesting the relevant Required Technical Information (RTI) if it is not available in the system, and sending the documentation to the customer or Sales Manager.
  • Send all required documentation (including the Technical Data Sheet).
  • Create basic pyramids when requested by Sales Managers or the customer.
  • Support Sales Managers in all areas of their commercial activities.

  

Manage client(s):

  • Resolve customer requests and needs.
  • Handle customer inquiries via phone or email.
  • Clearly understand customer needs and guidelines regarding documentation and sampling.
  • Receive and properly handle customer complaints from time they are received until they are resolved.

Skills and Attributes Required

  • Excellent written and verbal communication skills.
  • Ability to solve problems quickly and effectively.
  • Commercial mindset and customer-oriented approach.
  • Ability to work efficiently and effectively with attention to detail and quality.

 

Education:

  • Training equivalent to Bachillerato or Ciclo Formativo de Grado Medio.
  • Training in perfumery or a related field (desirable).

 

Professional experience:

  • Professional experience in a similar position (1-3 years).
  • Professional experience collaborating with sales and customer service teams.
  • Professional experience in the fragrance industry (desirable).

 

Other skills and requirements:

  • High level of Spanish (C1-C2).
  • Medium-high level of English (B2-C1).
  • Good computer skills - Microsoft Office.
  • Valid work permit in Spain.
