Job Purpose
- The Event Planner will:
- Plan, organize, and manage all internal and external events across CPL Aromas divisions.
- Ensure all events are aligned with CPL Aromas' brand identity and strategic objectives.
- Coordinate with local teams to customize events based on regional needs and preferences.
- Promote CPL Aromas’ technologies and ensure events follow corporate branding guidelines.
- Manage logistics for CPL staff attending events, including travel, accommodations, and event materials.
- Oversee the execution of the annual Macro Trend event, ensuring successful implementation across various divisions.
- Organize and execute customer and VIP events that strengthen brand engagement and relationships.
Tasks and Responsibilities
- Plan and manage all internal and external events across different CPL Aromas divisions, ensuring each event aligns with business goals and objectives.
- Coordinate with local teams to understand specific requirements and tailor events to meet regional needs.
- Coordinate CPL Aromas’ participation in trade shows, exhibitions, and industry events.
- Organize logistics, including registration, booth design, promotional materials, travel arrangements, and hotel bookings for CPL staff.
- Ensure effective communication with CPL staff attending the shows, providing them with necessary event details.
- Oversee the planning and execution of the annual Macro Trend event, ensuring it is successfully implemented across various divisions.
- Collaborate with relevant departments to develop content, presentations, and collateral that align with CPL’s strategic objectives.
- Manage and organize customer parties and VIP events, ensuring that they are consistent with CPL Aromas’ brand image and messaging.
- Build relationships with customers to create engaging, memorable experiences that promote CPL’s technologies and brand values.
- Source and manage relationships with external vendors, such as venues, caterers, AV teams, and marketing agencies, to ensure timely and quality delivery of services.
- Create, manage, and track event budgets, ensuring cost efficiency without compromising the quality of the event.
- Report on event expenses, providing analysis and insights for future planning and decision-making.
- Conduct post-event evaluations to assess effectiveness, gather attendee feedback, and identify areas for improvement.
- Provide reports on event performance and ROI, offering recommendations for future events.
Skills and Attributes Required
- At least a bachelor’s degree or equivalent in Business and Marketing
- Proven experience in planning and managing large-scale corporate events, trade shows, and customer engagements.
- Strong project management skills with the ability to manage multiple events and meet tight deadlines.
- Strong interpersonal and communication skills to liaise effectively with internal stakeholders, external vendors, and customers.
- Exceptional organizational skills, with a keen eye for detail to ensure high-quality event execution and brand consistency.
- Strong problem-solving skills, with the ability to adapt quickly to changing event needs and last-minute challenges.
- Calm under pressure and able to make quick, thoughtful decisions in fast-paced environments.
- Experience managing event budgets, negotiating with suppliers, and ensuring cost-effective solutions.
- Ability to build and maintain strong relationships with external vendors and partners.
- A background in fragrance, fashion, or luxury industries would be advantageous.
- Experience in an international setting, managing events across different countries and regions.
